Manuscript Preparation and Paper Format
This page describes and illustrates the format for an APA title page, abstract, and main body of a paper. Written by Capital Community College, Hartford Connecticut.

APA Style Citations

In APA style, brief citations to original sources are given in the text of the paper. An in-text citation names the author of the source, gives the date of publication, and sometimes a page number in parentheses. At the end of the paper, a reference list provides publication information about the source; the list is alphabetized by authors' last names (or by titles for works without authors). Readers use the in-text citations like footnotes, to find publication information about the source located in the list of references.

Guidelines for in-text citations (parenthetical references)

  • The main information required is author last name and date of publication.
  • This information is included as part of a sentence, usually using parentheses
  • Articles with no author are shown in quotation marks
  • Interviews, e-mails, and other unpublished sources are cited in-text as personal communications, but are not included in the reference list
  • Quotations shorter than 40 words should be placed in double quotation marks, with citation info (including page number, if known)in the same sentence.
  • Any quotation longer than 40 words should be written as a block quote. The quotation is started on a new line, and the whole "block" (entire quote) is indented ˝ inch. Citation information follows immediately after the quote.

Madison referred to the Internet as "a highway to nowhere." (1990, p.21)

North Carolina's Outer Banks are described as:
Fringing virtually the entire Atlantic coast of the state is a long chain of barrier islandsthe—Outer Banks—ranging in height from a few feet to more than 100 feet (30 meters) at Kill Devil Hill and Jockey's Ridge. From these banks, Cape Hatteras, Cape Lookout, and Cape Fear jut out into the ocean. Between the banks and the mainland are five sounds: Currituck, Albemarle, Pamlico, Core, and Bogue. Guidelines for the reference list

  • Citations should be double-spaced.
  • Author's names are inverted (last name first); give the last name and initials for all authors of a work. The reference list should be alphabetized by author's last names.
  • If you have more than one work by a particular author, order them by publication date, oldest to newest.
  • If no author is given for a particular source, alphabetize using the title of the work, which will be listed in place of the author.
  • Use "&" instead of "and" when listing multiple authors of a single work.
  • Use a hanging indention for each entry that requires 2 or more lines, every line after the first should be indented one-half inch from the left margin (there might be a feature in your word processing program to assist with this).
  • Capitalize only the first word of a title and subtitle of a work.
  • Italicize titles of books and journals, do not underline or put in quotation marks.
